Job Description

Location: 1400 CD-Community Permitting
Pay Grade: A07
FLSA Status: Non-exempt

The primary role of the Special Events Liaison is to facilitate smooth, consistent coordination of events held within the community. This position also coordinates internal events through the direction of leadership for the City of Broken Arrow.

*This position performs duties deemed to be “safety sensitive" and is therefore subjected to random drug testing under the City’s policies*

Essential Job Functions

  • Serves as a resource and primary contact for individuals or groups hosting events within the city limits.
  • Works with leadership to develop and implement new Community Development events.
  • Works with leadership to develop and maintain event policies and guidelines
  • Works with leadership to plan, promote, organize, and schedule various City programs and activities
  • Coordinates the Special Events Committee, ensuring open communication and collaboration between city staff and event organizers, for the purpose of providing services for events.
  • Seeks out sponsorships, donations, grants, and volunteer organizations to help offset internal event costs.
  • Develops and maintains cooperative relationships with other departments, outside agencies and groups, and general public contacted in the course of work.
  • Performs public relations work within the community and state when needed and directed by leadership.
  • Reviews requests and provides customer assistance with special event permits.
  • Aides in development and processing of Servicing and licensing agreements for events.
  • Provides on-site coordination of City events.
  • Coordinates event license agreements.
  • Perform post-event tasks IE: reviewing invoices and billing and documenting issues and resolutions.
  • Performs other duties as assigned.

Minimum Education and Experience

Requires a High School Diploma or GED equivalent, supplemented by three to five years of related experience; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Possession of or ability to readily obtain a valid Driver's License issued by the State of Oklahoma for the type of vehicle or equipment operated.

Physical Requirements

Tasks involve the ability to exert moderate physical effort in medium work, typically involving some combination of balancing, climbing, crawling, crouching, feeling, handling, hearing, kneeling, mental acuity, reaching, repetitive motion, speaking, standing, talking, visual acuity, and walking. Some tasks may involve lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (up to 50 pounds).
