MINIMUM QUALIFICATIONS

Education – High School Diploma or GED equivalent.

Experience – A minimum of one (1) year relevant experience is required.

Licenses & Certification – Certificate of completion of a Program or Training in Medical Office Technology or related field is preferred but not required.

Knowledge & Skills

  1. Knowledge of general medical terminology and of the terminology used in the process of billing for medical services.

  2. Knowledge of general medical terminology and of the terminology used in the process Knowledge of RPMS patient database systems.

  3. Knowledge of the Privacy Act regarding patient health information and the ability to maintain strict confidentiality of patient information.

  4. Ability and skill to utilize health information database system and a personal computer and its applications in a Windows environment.

  5. Ability to communicate courteously and effectively with patients and their families, medical and administrative staff, health care professionals and the general public both orally and in writing.

  6. Ability to maintain a confident professional demeanor.

JOB SUMMARY

The purpose of this position is to provide clerical and data management support to the Diabetes Prevention and Management Program. Incumbent will provide services for the Program at specified clinics operated by MCNDH. Incumbent is under the immediate supervision of the Program Coordinator.

WORK ENVIRONMENT

Work is performed in an office and clinical office environment. Some travel may be required and may require driving a GSA vehicle to other Diabetes Program facilities to perform job duties.

PHYSICAL DEMANDS

Work requires the demands of normal office and clinical work which may include repetitive entry movement and eyestrain. Lifting of up to 30 lbs may be required at times. Position may require driving a vehicle to facilities located within the MCN to conduct program activities and/or duties.

ESSENTIAL FUNCTIONS

Satisfactory job performance will be determined by successful execution of the following:

  1. Processes initial requests for information regarding established Diabetes Program routines and programs using positive and accurate communication resulting in satisfied customers or notification of local Diabetes Program Coordinator if customer not satisfied.

  2. Maintains appointment system for education programs, arranging access within 2 weeks of referral, and rescheduling follow-up visits within program guidelines, providing pre-visit reminders to participants and communicating to patients and providers for no show and follow up procedures.

  3. Maintains adequate inventory of pre-specified educational materials for established DSMES programs and assures these are ready the day before scheduled visits.

  4. Review Charge Capture report and address any pending charges on a daily basis.

  5. Perform Joslin Vision Network scans for early detection of retinopathy for patients at risk. Send reports to the proper provider for follow-up.

  6. Schedules patients per provider referral for all Diabetes Program Services, tracks attendance and accomplishes follow-up policies.

  7. Enter data for Program-specified reports to Local Diabetes Program Coordinator or other specified staff members within specified time frame for the following: IHS Diabetes Audit, DSMES Recognition Program, Patient Needs Assessment and Satisfaction Survey, CQI reports, and others as required.

  8. Assist with Program’s objective to increase patients’ participants as partners in their care by uploading glucometers and Continuous Glucose Meters, troubleshooting meters, changing out meters as needed and helping patients secure supplies if needed.

  9. Provide general administrative and clerical support to meet the goals and objectives of the Diabetes Program.

  10. Regular attendance is required.

  11. Performs other duties as required.
