Minimum Qualifications

Education – High School Diploma or GED Equivalent.

Experience – A minimum of two (2) years related experience.

Licenses & Certification –Associate Degree in medical office technology or related field preferred.

Knowledge & Skills

  1. Knowledge of the POPPS Program as established by NCA 07-13

  2. Knowledge of the IHS, and Muscogee (Creek) Nation Division of Health Administration, Contract Health Service and Tribal Health Policies and Procedures, safety procedures and filing procedures.

  3. Knowledge of medical terminology along with terminology and codes used for process of billing medical services

  4. Knowledge of accounting procedures sufficient to maintain ledgers and registers.

  5. Knowledge of established procedure, required forms, etc., associated with the various alternate resources, e.g. insurance, Medicare, Medicaid, etc.

  6. Ability and skill to utilize the health information database system and personal computer and applications in a Windows environment.

  7. Ability and skill to prioritize and complete multiple tasks and projects, performing position duties independently with minimal supervision.

  8. Ability to maintain a professional demeanor and accurately complete assignments in a timely manner

  9. Ability to coordinate, plan, organize workflow and data management.

  10. Ability to communicate courteously and effectively with patients, their families, MCNDH staff, vendors and the public orally and in writing. Incumbent should have excellent verbal and written communication skills.

  11. High degree of knowledge and skills in staff development to orient, train and evaluate.

      JOB SUMMARY

      The purpose of the position is to provide administrative support and coordination of the POPPS Program, as well as oversee all related activities that pertain to the efficient and effective operation of contracting health services and purchasing supplies. The incumbent will work with Diabetes Program, POPPS and MCNDH staff to accomplish job tasks.

      WORK ENVIRONMENT

      Work is performed in an office and/or clinical setting. Incumbent has contacts with patients, vendors and other MCNDH Staff. Incumbent must be able to cope with and adapt to constantly changing situations/demands.

      PHYSICIAL DEMANDS

      Work requires the demands of normal office work. Incumbent may be required to travel to MCNDH facilities in a GSA vehicle as required. Must have a valid driver’s license and be insurable.

      ESSENTIAL FUNCTIONS

      Satisfactory job performance will be determined by successful execution of the following:

      1. Coordinates, organizes workflow, data management for the POPPS program within the guidelines and resources provided via the local Indian Health Clinics and MCNDH.

      2. Gathers broad input into development, planning, conducting and evaluating POPPS program and services.

      3. Verify eligibility for service specified in referral or equipment prescription requested.

      4. Ensure maximum usage of alternate resources, i.e. IHS, Tribal, Medicaid, Medicare, Sooner Care eligibility, Emergency Medical Assistance, private health insurance, etc.

      5. Process referral or prescription by contacting the specified service or equipment source and provide required documents according to established processes.

      6. Monitor progress of all referrals or purchasing requests and accomplish delivery of service within two weeks or report reason for delay to Diabetes Program Manager.

      7. Audit payment document to determine appropriateness and completeness of payment submitted to accounting. Responsible for entering and verifying all authorized referrals, payments, cancellation, and supplements for patient accounts.

      8. Maintains filing systems and file databases in an effective and efficient manner. Provides routine reports or files upon request.

      9. Maintain open channels of communication and clear flow of information between all departments and other relevant facilities.

      10. Answer questions regarding the POPPS program and related inquiries courteously and effectively, orally and/or in writing.

      11. Regular attendance is required.
